Tasks

-Generate rooming list templates, pick-up summaries, and forecast reports as needed. -Assist Revenue Management with group audits, attrition calculations, and room block analytics. -Ensure billing details, payment methods, and posting instructions are accurate and aligned with contracts and negotiated agreements. -Monitor group cut-off dates, block utilization, and attrition, communicating risks or changes to Revenue Management and Sales. -Support on-site group arrivals by coordinating with Front Office leadership to ensure seamless check-in experiences. -Maintain detailed group files and documentation to support internal communication and pre-arrival planning. -Maintain confidentiality of guest information and adhere to all company policies and Forbes 5-Star standards. -Manage group rooming lists, pick-up reports, block modifications, and reservation updates in Opera or applicable PMS/CRS systems. -Uphold Faena’s service culture by delivering personalized, anticipatory, and efficient service in all guest and client interactions. -Enter, review, and update all group reservations to ensure accuracy in names, dates, billing, and special requirements. -Collaborate closely with the Sales, Events, Front Office, and Housekeeping teams to communicate VIP lists, special requests, arrival patterns, and guest preferences. -Serve as the main point of contact for group clients regarding reservation inquiries, room block updates, and pre-arrival coordination. -Assist with creating and distributing group resumes and arrival reports to operational departments. -Support VIP and special events with curated touches and guest recognition in alignment with Faena brand values.

What You Bring

-Strong organizational skills with high attention to detail and demonstrated ability to manage time-sensitive deadlines. -Ability to work collaboratively with multiple departments in a fast-paced, high-volume luxury setting. -Proficiency in Microsoft Office (Excel, Outlook, Word). -Strong customer service orientation with the ability to anticipate needs and proactively resolve issues. -Excellent verbal and written communication skills. -Knowledge of PMS/CRS systems (Opera, OperaCloud, Passkey experience strongly preferred). -Minimum 1–2 years of reservations or front office experience in a luxury hotel environment; group reservations experience preferred.
