The Role

Manage, validate, and ensure compliance of work orders while supporting maintenance teams.

Tasks
-Support cancellation and duplication review processes, ensuring all changes follow proper approval protocols. -Track work order trends, identify inefficiencies and potential compliance issues and provide corrective recommendations to leadership. -Monitor that each technician is scheduled with a full day of work -Ensure all work order notes and updates are timely, accurate, and detailed for transparent tracking -Ensure all work orders maintain an audit-ready status for Operational Assurance and compliance reviews. -Monitor adherence to Work Order Gatekeeper process and report compliance issues to leadership -Train onsite teams on Work Order Management policy, data accuracy, and system processes to ensure consistency in execution. -Contribute to best practices for work order processing. -Work collaboratively with local and regional leadership to address knowledge gaps and improve policy adherence across all levels -Act as a liaison between onsite teams and leadership to ensure policies are followed and work orders meet established standards -Assist in the development and implementation of process improvements to enhance work order accuracy and efficiency. -.Identify and escalate recurring compliance failures to leadership for corrective action and process improvements. -Assist with correcting work order discrepancies, preventing unauthorized changes, and ensuring compliance with Gatekeeper controls. -Participate in periodic policy reviews and recommend updates to reflect operations changes and best practices. -Assists in assigning work orders to Maintenance Technicians/Vendors in accordance with skills/abilities/specialties. -Provide real-time coaching and guidance to maintenance teams on ensuring work order completion meets documentation requirements. -Conduct daily reviews of open work orders to verify data accuracy, status updates, and compliance with Work Order Management policy. -Process and validate work orders to ensure proper categorization, priority level and completeness. -Assist in the weekly audit of completed work orders to verify labor, materials, photos, and resident acknowledgments are properly recorded.

What You Bring
-Minimum of two (2) years of customer service and administrative experience -Ability to communicate effectively across multiple levels of the organization -Strong problem-solving, project management, and organizational skills -Possession of a valid, state-issued driver’s license and safe driving record is also required. -Work Gatekeeper framework compliance training -Ability to travel up to 20% -Proficiency with Outlook, Excel and Word. -High School Diploma or GED required. -Relevant industry and leadership experience preferred -Work order Management system training -Strong data entry and documentation skills with high attention to detail
