Overview

Provides support to purchasing department, handling vendor, bidding, and reporting tasks.

Tasks

-File and mail Notices of Completion. -Coordinate plan-ordering activities, including online setup and distribution. -Distribute new vendor/subcontractor packages. -Input, print, and fax information to trades using JD Edwards. -Prepare correspondence for other departments, government entities, homeowners, etc. -Provide backup support for Contracts Administrator and receptionist duties. -Prepare weekly production reports, community books and product cut-sheets. -Prepare and distribute bidding packages and set up new vendors for new communities. -Track subcontractor/supplier insurance using the IDS database. -Assist Purchasing with bidding for new projects. -Order appliances for each community. -Audit and track contractor license information for all trade partners. -Prepare and distribute Sequence sheets to trades and field personnel. -Interface with the Accounting Department to ensure timely payment for subcontractors. -Process and follow up on utility deposit refund requests. -Maintain lumber tracking spreadsheet using Random Lengths weekly reports. -Update and maintain Master Trade Partner/Bid lists. -Perform filing, copying, and other administrative tasks within the department. -Assist in field operations administration.

What You Bring

-At least 2 years of office or administrative experience. -High School Diploma or equivalent required; college education preferred. -Proficient with computers and experienced with JD Edwards, AutoCAD, Buzzsaw, BuildPro/SupplyPro, and Excel. -Effective team player with the ability to perform well under pressure. -This position may be eligible for commissions. -Capable of handling multiple detail-oriented tasks with concurrent deadlines. -Strong writing skills and exceptional organizational abilities.
