The Role

Overview

Oversee property accounts payable, vendor relations, and ensure timely invoice processing.

Tasks

-Plans, organizes, and is responsible for all payables activities. -Communicates with vendors via phone, email, and mail. -Ensures that all invoices are paid in a timely manner. -Trains and oversees Accounting Specialists assigned to the payables department. -Maintains all policy and procedures for payables ensuring compliance by team members. -Compiles and maintains W-9s and Certificates of Insurance for vendors. Monitors critical date tracking of renewals and validation of vendor FEIN via IRS website. -Assists with Accounting Business Development upon request -Communicates with Property Managers and Property Accounting team regarding approval and accuracy of invoices received. -Provides 1099 reports by deadline specific to each MSA client. -Reviews vendor statements and follows up on any missing invoices. -Files 1099s on IRS Fire website annually. -Provides backup and/or assistance for various administrative duties as needed. -Oversees Yardi software updates/upgrades to maintain efficiency in processing. -Initiates yearend 1099 process and automation.

What You Bring

-Proficient with Microsoft Office Suite, including Word, Excel, PowerPoint, Adobe. Yardi Property Management Software experience preferred. Typing and Keyboard with efficiency. -Bachelor's degree in Accounting, Finance, Business Administration, or related field is required. -Timely decision-maker. -Client / Project Work – 85% -Strong communicator. -Able to accept constructive criticism. -Minimum of 5 years of relevant experience and/or training in the accounting field and commercial real estate industry and/or property management fields is preferred. -Must work well together and in a professional team environment. -Problem solver. -Able to exercise sound judgment in handling sensitive information.
