Coordinate capital projects and tenant renovations for Toronto office portfolio

Tasks
-Work with a consultant team to secure permits, municipal approval and entitlements. -Assist with preparation, issuance and formal closings of tenders. -Coordinate with designers & consultants to ensure drawings, specifications, and contract documents are prepared on time and on budget. -Manage project completion process, including turnover, budget reconciliation and closeout. -Represent the Owner for general contract administration for projects. -Work with all parties to establish budgets and assist with cost-benefit analysis. -Provide monthly project reports including cost reporting. -Manage consultants and contractors to ensure each project is completed on time, within budget and according to established specifications. -Act as the Owner representative and ensure their best interests are always maintained. -Coordinate requests for proposals and secure design consultants. -Generate periodic and consolidated project reports and forecasts. -Alert internal clients of all issues impacting quality, timing and cost of assigned projects. -When landlord is commencing with tenant improvement work, responsibility to coordinate entire process of tenant fit-out of newly developed space is required. -Track all budgets, costs to complete, cost variances and provide updates to internal and external clients as required. -Make recommendations for the continuous improvement of policies and procedures. Other duties as required and assigned from time to time. -Attend all construction and site meetings for assigned projects. -Assist in invoicing supervision fees as outlined in lease. -When a tenant is commencing with improvement work, review and approve tenant design documentation, attend tenant site meetings and general supervision of tenant construction. -Sign off on all payables for capital projects and ensure payments of obligations are met. -Obtain close-out documentation for all projects including turnover of newly developed asset to PropertyManagement group. -Assist in the maintenance and creation of project tracking documentation. -Ensure excellent relations through personal contact and excellent customer service.

What You Bring
-Minimum 4-5 years of commercial project management, property management, and/or construction management expertise. -Required to manage multiple projects simultaneously at multiple sites. -Ability to analyze tenders and make recommendations to internal and external clients. -Working knowledge of Yardi, Microsoft Access and Share Point is an asset. -Advanced knowledge of Microsoft Word, Excel, Power Point and Adobe Acrobat Pro -This position may require the ability to travel regionally for 2 to 4 days per month. Proponents should have flexibility to meet this potential demand. -Post-secondary degree or diploma in business administration, project management and/or related work experience. In addition, a high level of design and construction knowledge as well as industry knowledge is required.
