Tasks

The Office Manager oversees financial, invoicing, and administrative operations for multiple projects within Enerfab Power & Industrial Eastern Region. This role ensures billing accuracy, rate management, and payment tracking while coordinating with project managers, corporate finance, and HR to maintain compliance and operational efficiency. -Financial & Invoicing: Prepare and manage weekly/project invoices, track project progress, and generate financial reports. -Project Tracking: Establish and update project lists; coordinate setup for T&M and firm price projects. -Supervision & Payroll Support: Track pay rates, vacation data, and coordinate annual rate increases. -Customer & AR Management: Maintain customer relationships, track accounts receivable, and resolve payment issues. -Training & Support: Train new staff, ensure completion of corporate training, and assist Harrisburg operations as needed. -Fiscal Year-End: Reconcile project financials and vendor costs and prepare year-end invoicing reports. -Reporting: Prepare labor, costing, and customer-specific reports; maintain safety and performance data. -Employee Relations & Office Support: Assist with terminations, policy development, and reporting. -Rate Management: Build, verify, and maintain accurate project rates; coordinate updates with Project Managers.

What You Bring

-Bachelor’s degree in Accounting, Finance, or Business Administration (or equivalent experience). -3–5 years of experience in project accounting, finance, or administration. -Excellent organizational and communication skills. -Ability to manage multiple priorities in a fast-paced environment. -Proficient in Microsoft Excel and accounting software. -Strong understanding of invoicing, rates, and project costing.
