The Role

Overview

First point of contact handling front‑office duties and administrative support.

Tasks

-Assist in maintaining and updating project and client specifications as directed. -Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents. -Purchase all items from staples. Specialty items. Large format paper and ink orders. -Order gifts and flowers as required. -Ordering of architectural products for color boards, production and construction administration as required. -Carry Weight infrequently carry weight and/or lift objects (light to heavy) weighing up to 25 pounds. -Stationary Position frequently remains stationary up to 90% of the time and sitting up to 8 hours in a day. The employee will spend most of their time sitting at their desk, typing on keyboard, viewing computer monitor, answering telephone calls. -Coordinate and support office functions/parties. -Working at the reception area and greeting all incoming traffic into the office, including all incoming calls. -Maintain paper and electronic filing systems. -Performs office tasks including maintaining records and ordering supplies and coordinating with multiple vendors at multiple office locations. -Create various project specific schedules when requested. -Receive deliveries and ship documents and items as required. -Maintain offsite storage and organization. -Maintain marketing contact database. -Maintain office calendar for PTO, WFH, and events. -Maintain office appearance.

-Professional, friendly, and approachable demeanor. -Sight frequent use of sight to detect images on computer, office documents, and office objects near and far. -Excellent organizational skills and attention to detail -Excellent communication and interpersonal skills -Move/Traverse infrequently bend, stand, stoop and/or walk. -Hearing and Speech frequently communicates with the ability to hear and talk on a regular basis with employees, coworkers, and all personnel matters; must be able to exchange accurate information in these situations. -High school diploma or equivalent. -Valid California Driver’s License -Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment. -Comfortable interacting with high-level executives
