Tasks

VVB are seeking a Document Controller to support on the UKs most prestigious infrastructure project. Based at Old Oak Common (Acton), the successful candidate will play a key role in supporting project operations through effective document control and administration. You’ll manage a range of tasks, from handling day-to-day enquiries to processing essential project documentation. Acting as the central point for the registration, receipt, distribution, and issue of all project documents, you’ll help keep operations running smoothly and efficiently. -Typing (Letters, memos, e-mails, meeting minutes and reports etc. -Monitoring of Site Stationery. -Maintaining Document Control register, TQ and RFI register. -Updating & maintaining records of staff holidays, sickness and absence and other project records. -Acting as the Assistant Project focal point for all administration matters. -Monitor Site Holidays/Absence records and liaison with HR department -Placing requisitions on SAP -Filing and archiving various paper work -Regular updating of time and attendance using information from timesheet provided. -Providing full secretarial and administrative support to Project Team -Photocopying, scanning, encapsulating documents. -Uploading / Downloading project documents to client Document Control System. -Uploading / Downloading documents to Asite VVB Document Control Management portal. -Updating Staff Register, Training Matrix etc. -Reviewing and numbering with unique document reference and revision Project Documents before submission to Client. -Maintaining electronic records of all purchases, and maintaining the filing system for requisitions to enable easy location of information where necessary -Recording, checking and tracking all incoming and outgoing project documents. -Ensuring appropriate personnel (including project personnel and subcontractors) are issued with up-to-date documentation. -Reconcile Delivery Notes with purchase orders
