Tasks

-Oversee office supplies, equipment, mail, and vendor relationships -Track milestones and deliverables for department projects -Coordinate executive travel, including booking flights, hotels, and ground transportation -Order and coordinate office lunches, team events, and off-site reservations -Provide administrative support to the Pre-Construction department and leaders -Assist in preparing reports, presentations, and project summaries for leadership -Input and update project data in the company CRM system -Manage calendars, appointments, and meeting logistics -Serve as the primary point of contact for in-office operations and visitors -Handle confidential information with discretion and professionalism -Prepare and submit expense reports and reimbursements -Ensure the office environment remains organized, clean, and efficient -Maintain organized digital and physical filing systems for project documentation

What You Bring

-Excellent interpersonal and customer service skills -Passing of all pre-employment requirements (MVR, Background Check, Drug Screen) -Ability to learn and utilize role specific equipment and software -Ability to function well in a high-paced environment -Excellent time management skills with a proven ability to meet deadlines -2+ year(s) of executive assistant, legal assistant, administrative support, Human Resources or related experience required -Full Time (M-F 8am-5pm in the office located in Mesa, 85206) -Excellent verbal and written communication skills -Ability to work independently, prolonged periods of sitting at a desk and working on a computer while utilizing telephones, smart phones and headsets -Proficient with Microsoft Office Suite or related software -Must provide a valid government-issued photo ID for verification; a driver’s license is required if the role involves driving -Excellent organizational skills and attention to detail
