The Role

Overview

Manage project docs, invoicing, and compliance for NYC construction projects.

Tasks

-Follow up to ensure that document changes, updates, or revisions are approved, properly tracked and distributed. -Organize, file, and maintain program documentation. -Scan and digitize physical documents into a secure electronic system as needed. -Maintain and update project databases, including data entry and uploads related to program documentation. -Ensure program documents are complete, accurate, and up to date. -Maintain a filing system and ensure accessibility of any required project documents and invoice materials. -Communicate with the team to request missing documents or clarification when necessary. -Generate and distribute progress reports and updates as required. -Assist in the preparation of invoices and supporting documentation for invoices. -Maintain constant communication with subcontractors to obtain complete and compliant invoices promptly.

What You Bring

-Use of repetitive motion, prolonged periods of sitting and standing, and sustained visual and mental applications and demands. -Ability to work independently and as part of a team. -Familiarity with SharePoint, Quickbase, and similar systems. -Strong verbal and written communication skills. -Two (2) years of experience as a project coordinator, administrative assistant, or similar role in the construction industry or a related industry. -Use of manual dexterity, tactile, visual, and audio acuity. -Occasional lifting (up to 15 pounds), bending, pulling, and carrying. -Knowledge of construction processes, terminology, and documentation is preferred. -Excellent communication and interpersonal skills.
