Tasks

-Reporting ALL Workflow status,’ especially Rejections or Approved with Comments, to Drafting Manager so that dispositions can be provided to Aecon and/or GEH in a timely manner. -Management of ALL Drafting Team drawing dispositions in Aconex, including the following sub-tasks: -Administer office operating practices such as record keeping systems, forms control and office layout. -Ensure responsibilities and accountabilities are conducted in a safe manner in accordance with E.S. Fox Limited safety policy/procedures, ISO 18001 standards, and OHSA requirements. -Maintain and update area manuals and procedures, as required. -Maintain office equipment and supplies, including stationery, telephones, photocopiers, and fax machines. -Pairing of all ESFL DWG NO.’s to SMR-X and AECON DWG NO.’s in the DPSC Number Matrix Excel document environment. -Data entry per Drafting Manager’s guidance on ALL disposition responses, completed in Word.Aconex Disposition uploads. -Record keeping and filing of change orders where required. -Prepare letters and various correspondence, as necessary. -May be required to attend front desk security including logbooks, visitor badges, and visitor orientation forms (if or when the need arises). -Aconex Metadata uploads for ALL DPSC Number Matrix drawings. -Ensure that environmental aspects within his/her scope of responsibility are adhered to, in order to maintain an efficient operating site office. -Use various software applications such as spreadsheets, and databases to assemble, manipulate and/or format data and/or reports. -Management of the DPSC Number Matrix, including the following sub-tasks:

What You Bring

-Strong communication skills (both written and verbal) are required. -Completion of a College Diploma in Business Administration or a related field. -Aconex search by ESFL DWG NO.’s for Workflow status updates. -Tact and persuasion abilities with positive oral and written communication skills. -Experience working within an administrative role in a construction site-type environment is considered an asset. -Aconex Drawing uploads. -Prior Reception experience is considered an asset. -Reliable and well organized. -3-5 years of experience working within an administrative role is required. -Exceptional interpersonal skills. -Aconex Document Placeholder Req’s. -Personable and pleasant. -Demonstrated working ability in MS Word, Excel, Visio, PowerPoint, and Outlook.
