The Role
Overview
Provide senior‑level PA support, handling diary, travel, communications and project tasks.

Tasks
-Identify any potential challenges or issues with communication of information, flag to your Leader and work with them to identify remedial measures. -Management of agreed ad-hoc projects (single workstreams) aligned to the priorities of your Leader. -Arranging travel, visas and accommodation as required. -Work as an integral part of the PA community to share information aligned to role to support the PA team and the leadership team understand progress against strategic priorities to enable efficient working. -Assess and evaluate business processes in order to identify opportunities for improvement. -Finishes all work to a high standard even when under pressure / tight deadlines -Identify opportunity for your Leader to embrace the H&S culture. -Maintenance of any electronic filing systems/other filing systems e.g. database/marketing materials. -Arranging meetings. -Support or develop presentations, reports and proposals as required. -Answer queries promptly as required. -Proactively communicate key messages between your Leader and Key Stakeholders and vice versa. -Embrace technology as appropriate to your role, for example in reporting, use of trackers etc. Share good practice with PA community. -Diary management for your Leader efficiently and effectively planning their time aligned to agreed priorities. Ensuring they are aware of key meetings and events, support them to be well prepared. -Act as a point of contact for Stakeholders who require to engage with your Leader. Support Stakeholders as required. -Take accurate minutes at meetings and track actions. -Understand what information your Leader requires for effective communication with Key Stakeholders and prepare this information in advance of meetings. -Manage the set-up of the meeting rooms for client meetings or events, ordering of catering services. -Work independantly on initaives as directed by your Leader, develop solutions to drive efficent ways of working. -Model and apply a one team approach with all colleagues irrespective of geographic location. -Schedule regular check ins with your Leader to enable you to respond to short term/ acute need. Schedule review of longer term objectives on a less frequent basis. -Ensure key information is collated and shared with Key Stakeholders to support strategic objectives. -Completion of timesheets and expenses on behalf of your Leader.

-Excellent business English both written and oral -Able to travel to other locations on an ad hoc basis -Can work under pressure in a calm and thoughtful way -To be a proactive and effective communicator, working in a collaborative manner with Key Stakeholders. -Client relationship management skills -Enjoys the challenge of multi-tasking and delivering. -Forward thinker likes to consider the bigger picture, anticipates potential issues and plans for them -Model H&S behaviours. -Highly proficient in all Microsoft programmes including MS Word, PowerPoint, Excel and Outlook -Able to self manage and prioritise workload -Highly organised -Reading, monitoring and selectively responding to Management emails. -Applies discretion and confidentiality in all matters -Attention to detail -Professional, proficient and proactive in approach -Demonstrable PA experience -Confident in working with a demanding client group -Excellent common sense and good sense of judgement -Able to communicate proficiently both in writing and orally -Accurate typing speed of 55 wpm (minimum) -Excellent relationship builder and able to influence -Likes to work as part of a team but equally comfortable working alone -Understand the business systems and processes aligned to your role.
