Tasks

-Provides weekly invoices prepared to Operations Coordinator for posting. -Prepares Facility invoicing that will be entered into Spectrum / accounting software and then entered in the customer’s online billing platform. -Receives billing/invoice worksheets from Project Managers to be reviewed for accuracy. -Responds to billing inquires by Divisional Directors, and PMs, and customers. -Processes and prepares customer invoices: 60% -Researches and responds to routine customer billing and billing statement inquiries. -Verifies worksheet details to the contract/PO/work order details from Owner/GC. -Prepares invoice in Spectrum/accounting software and emails to customer. -Prepares monthly statements and submits them to customers. -Assists with billing reports for Divisional Directors and PMs. -Assists with Accounts Receivable (AR) aging reports for the AR Collections Associate. -Assists with collections as requested. -Analyzes billing requests to process and produce invoices.

-Interpersonal Skills – Customer service skills required as well as the ability to work well in a team environment. -Must be able to lift up to 15 pounds at times. -Language Skills-Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. -One to three years related experience and/or training preferred. -Processes invoices and statements: 20% -Mathematical Skills-Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages. -Computer Skills-To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software. Prior experience with accounting software is preferred. -High school diploma or general education degree (GED) preferred. -Moderate noise level. -While performing the duties of this Job, the employee is regularly required to sit and use a computer; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. Specific vision abilities required by this job include close vision. -Reasoning Ability-Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a basic variety of technical instructions in mathematical or diagram form and deal with basic abstract and concrete variables.
