Tasks

We are looking for a dedicated and experienced Tender Coordinator to join our team on a full-time permanent basis at Qatar, UAE. The Tender Coordinator will support the full tendering process for offshore survey projects, including geophysical, construction support, and environmental surveys for oil & gas, port development and other related sectors. The role ensures proposals are prepared accurately, on time, and in alignment with company standards. The Tender Coordinator will coordinate inputs from technical, commercial and legal teams, manage client pre-qualification, prepare proposal documentation, maintain tender records, and assist with client communications and project handover after award. -Coordinate the tendering process from opportunity identification through submission and project handover -Prepare and manage client pre-qualification (PQ) submissions, ensuring all company documentation, certifications, and references are submitted and compliant with client requirements -Attend client clarification meetings and follow up on required information -Prepare required supporting documents and arrange the proposal approval by UTEC Management prior to submission -Assist in obtaining quotes from third-party suppliers (vessels, equipment, and other subcontractors) -Regularly follow up with clients for feedback on submitted proposals to support continuous improvement -Prepare technical and commercial proposal documentation, including costing sheets and scope breakdowns -Assist in handover of awarded projects to operations teams, including technical requirements, proposed resources, and contract documentation -Maintain records of client PQ status and updates as required -Organize proposals, supporting documents, and maintain tender documentation in a controlled manner -Review ITT terms and conditions and highlight deviations for internal review -Gather technical, commercial, and legal inputs for proposals, including survey methodologies, mobilization plans, and equipment requirements -Log every lead and opportunity in Acteon CRM database. Maintain accurate and timely input into the CRM

What You Bring

-Ability to work independently, take ownership of tasks, and meet deadlines -Proactive and solution-oriented approach to resolving tender-related issues -Familiarity with CRM systems and tender tracking tools -Excellent verbal and written communication skills -Experience with preparing spreadsheets and commercial calculations -Understanding of contracts, commercial terms, and proposal costing -Bachelor's degree in Survey, Engineering, Earth Sciences, or relevant industry experience -Knowledge of marine survey techniques, offshore survey methods and project execution -Collaborative mindset with the ability to coordinate effectively with technical, commercial, and operations teams -Strong organizational and time-management skills, with high attention to detail -2-3 years' experience in tendering, proposal coordination, or commercial support roles -Minimum 5 years' experience in offshore survey, oil & gas, or renewable energy projects
