Tasks

This is an exciting opportunity to join Ireland’s leading Property Management team in a busy, professional, and dynamic environment. The role of Block Property Manager Administrator involves providing key administrative and operational support to the Block Management team across a portfolio of residential developments. The position includes assisting with maintenance coordination, contractor management, invoice processing, compliance tracking, resident communication, and general administrative duties. You will play an important role in ensuring each development is well managed and that residents and clients receive a high level of service. -Using databases or CRM systems – for tracking tasks and logging updates. -Keep accurate and up-to-date records of works, communications, and reports. -Assist Block Managers with monthly and quarterly reporting. -Coordinate reactive maintenance, ensuring that service requests and repairs are handled promptly and efficiently. -Organise site visits for Block Managers and contractors -Oversee planned preventative maintenance schedules (PPM). -Assist with resident communications such as notices, updates, or newsletters -Support team email traffic and respond promptly to queries. -Tracking and ensuring continual progress of maintenance issues and projects to completion. -Assist with AGM and client meeting preparation, including compiling packs and taking notes. -Provide general administrative support to the wider block management team. -Occasional site visits and property inspections where required to support block management team -Check and match invoices against related work orders or purchase orders. -Prepare correspondence in conjunction with the Block Manager. -Log and track maintenance issues and ensure updates are recorded. -General office procedures – filing, document control, and email management. -Liaising with third-party auditors and contractors. Coordinate and schedule inspections, audits, certifications. -File and maintain all property documentation in the correct systems or shared drives. -Support Block Managers in tracking and updating compliance documentation and files. -Support Block Managers with invoice processing, tendering, and filing.

This is an excellent opportunity to join a leading international company and build a rewarding career in property management. -IT skills – confident using Excel, Outlook, and property systems like Yardi, Fixflo, or BuildingLink. -Excellent organisation – able to manage multiple tasks, deadlines, and priorities. -Attention to detail – accurate with data entry, invoices, and documentation. -Basic understanding of property management – OMC or PRS experience/knowledge beneficial but not essential. -Working in a fast-paced environment – managing competing demands effectively. -Numerical accuracy – for handling invoices, budgets, and service charge data. -Strong communication – clear and polite when dealing with residents, contractors, and clients. -Good written skills – professional emails and letters. -Previous experience in a customer facing role with strong communication and interpersonal skills. -Teamwork – works well with Block / Property Managers and the wider support team. -Understanding of property systems – data entry, work order creation, and record keeping.
