Coordinate project documentation such as As-built drawings, submittals, O & M manuals, scheduling inspections, and applying for permits.
Handle coordination of vendor material quotations and estimates.
Manage project/estimate list for PMs.
Identify potential project risks and support the development of mitigation plans.
Assist with scheduling inspections, obtaining permits, and ensuring compliance with building codes and HVAC regulations.
Coordinate with engineers, subcontractors, vendors, and field personnel to ensure timely delivery of materials and completion of work.
Foster positive relationships with clients, subcontractors, and internal stakeholders to maintain open communication and resolve issues promptly.
Support project documentation including contracts, change orders, submittals, RFIs.
Assist the Project Manager in planning, coordinating, and executing HVAC and construction projects.

Ability to prioritize and multitask in a dynamic environment.
CAPM or PMP certification (or willingness to pursue).
Proficiency with project management tools (Procore, Bluebeam, Smartsheet, Salesforce, or Microsoft Project).
Familiarity with HVAC design principles, ductwork layouts, and mechanical system installations.
Experience: 1–3 years of experience in HVAC, mechanical contracting, or general construction project coordination or management.
Strong communication and interpersonal skills with the ability to work across departments.
Education: Degree in construction management, Mechanical Engineering, Project Management, or a related field preferred but not required. Practical experience is considered more important.
Knowledge of local and state construction codes and permitting processes.
Knowledge of HVAC systems, mechanical drawings, and construction documents.
Experience working with commercial, institutional, office space, or medical.
Field and office work environment must be comfortable in construction site conditions.
Problem-solving mindset with attention to detail.
Excellent time management and organizational abilities.
Competency in Microsoft Office Suite (Word, Excel, Outlook).
