The Role

Tasks

-Plan and coordinate internal events, staff meetings, and team-building activities. -Liaise with clients, partners, and other stakeholders on behalf of executives. -Track and assist with follow-up actions on meetings and strategic initiatives. -Oversee day-to-day office operations and act as the main point of contact for facility-related matters. -Maintain office supplies inventory and place orders as needed. -Ensure compliance with company policies and procedures. -Manage office events and leadership expenses. -Draft, review, and manage correspondence, presentations, and reports. -Maintain office systems and procedures to ensure alignment with the Operations Department. -Supervise and support other administrative staff (if applicable). -Provide high-level administrative support to executive(s), including calendar management, travel coordination, and meeting preparation. -Serve as the go-to resource for office communications, onboarding logistics, and team support. -Coordinate with IT, property management, and vendors to ensure a productive work environment. -Coordinate and schedule meetings, conference calls, and events, ensuring all logistics are in place. -Handle confidential information with the highest level of discretion.

What You Bring

-Demonstrated ability to handle multiple priorities with exceptional attention to detail. -Flexible and adaptable to changing priorities. -Minimum 5 years of experience in an executive support or office management role. -Proven ability to maintain professionalism and confidentiality. -Bachelor’s degree or equivalent work experience. -Excellent verbal and written communication skills. -Strong problem-solving and decision-making skills. -Strong proficiency in Microsoft Office Suite and Google Workspace; experience with project management tools is a plus.
