The Role

Overview

Manage outsourced facilities services, staff, contracts, and performance for client.

Tasks

-Participate in Emergency Evacuation procedures including crisis management and business continuity. -Develop and manage succession plans and appraisals for all direct reports. -Actively seek to train subordinates in all aspects of the non- technical services. -Contribute to the Monthly Management Report to client and other reports as required. -Delivery of Agreed Initiatives as per Client/Jones Lang LaSalle Initiatives Road Map. -Effectively manage the mailroom services to ensure an on time deliverable system -Managing all outsourced service contracts and Jones Lang LaSalle personnel, including inspections and quality management of service delivery – this includes all Cleaning functions/ Security/ Administration/ Reception/ Helpdesk/ Pantry and Mailroom services. -Management of resource to ensure no disruption to client business. -Manage service contracts, including inspections and quality management of service delivery -Ensuring an adequate supply of materials and service for the proper operation of the buildings and enter into supply and service contracts as approved by the client -Routinely Inspect all contracted services to ensure performance measures are being maintained -Promotes open, constructive and collaborative relations with superiors, subordinates, peers and clients. -Manage all Health and Safety issues and actively participate in Health and Safety reviews -Achieve client satisfaction to Client expectations. -Prepare tender documentation, evaluation of tenders; prepare contracts -Developing and implementing building procedures and performance measures to ensure simplification and accuracy of work methods and reliability of systems -Ensure Helpdesk service requests are attended to in time. -Manage and assist with the personal development of all direct reports. -Management of contract resource to achieve Service Level Agreements to Key Performance Indicators at optimum cost for Client.

What You Bring

-Listens effectively and communicates through actions and examples. Have strong written and oral communication skills. -Knowledge of Occupational Safety requirements -Excellent people skills and ability to interact with a wide range of client staff and demands. -Contract Administration experience required. -Demonstrated experience with continuous improvement initiatives highly desirable. -Actively multi skill all Jones Lang LaSalle staff to increase flexibility and job satisfaction. -Demonstrated experience with tendering and service improvement initiatives required. -Strong PC literacy and proven ability to manage daily activities using various systems. -Achievement of Contracted Service Levels and Performance Indicators. -Demonstrated experience with client reporting and preparation of reports required. -Tertiary qualifications in property, building or facilities management required.
