The Role

Overview

Manage project documents, control versioning, and support admin tasks.

Tasks

-Maintain and update document registers, databases, and archives -Ensure proper coordination with site offices, contractors and consultants with regards to submittals and other project documentations -Ensure all documents are properly filed, stored, and easily retrievable -Establish and maintain a comprehensive document control system for all project-related documents -Receive, log, and distribute incoming and outgoing documents in a timely manner -Collaborate with project teams to ensure proper document version control and revision management -Assist in the preparation and distribution of reports, presentations, and other project-related materials -Preparation of Letters, Transmittal, Payment Request, Purchase Request, Internal memo etc. -Assist in monitoring of design submissions and RFI's status report. -Managing calendars, assisting in meetings and sending out minutes of meetings. -Train and support team members on document control processes and systems -Implement and monitor document control procedures and workflows -Conduct regular audits to ensure compliance with document control procedures -Assist Head of Department, Architects, Engineers and Consultants in scheduling, arranging appointments with Authorities and/or other stakeholders.

What You Bring

-Strong written and verbal communication skills to liaise effectively with diverse stakeholders, including clients, contractors, and design teams. -Resourcefulness and the ability to troubleshoot issues and discrepancies related to documentation. -Proven experience in document control or project administration, preferably within an architectural or engineering consultancy or construction environment. -Exceptional organizational skills, attention to detail, and the ability to manage a high volume of documents across multiple projects. -Proficiency in Microsoft O􀆯ice Suite (Word, Excel, Outlook) and specialized document management software (e.g., Aconex, Procore, SharePoint). -A diploma or a bachelor’s degree in a related field (e.g., Business Administration, Information Management, Engineering) is preferred.
