Overview

Support project managers with documentation, scheduling, and admin tasks on construction sites.

Tasks

-Manage overall project documentation and records. Create and update records ensuring accuracy and validity of information. -Produce high-quality results working independently or within a team. -Assist project team with safety compliance within the job site. -Assist in the maintenance of a clean job site, take direction well, detail oriented. -Ensure the level of quality is being complied with. -Communicate and maintain trusting relationships with subcontractors, vendors, team members, and other external stakeholders. -Manage the filing system, record information as needed, update required forms and paperwork. -Assist the leaders with the invoice, payment control and all administrative related tasks. Review financial data to oversee costs, profits, and expenses. -Schedule and plan meetings and appointments, create a master schedule for all team members. Arrange meetings, take or distribute minutes of meetings, help prepare Excel, Word, PowerPoint presentations. -Sort and distribute communications in a timely manner. -Coordinate with other departments to ensure compliance with established policies. -Maintain daily log of job site occurrences. -Organize office and assist associates in ways that optimize procedures. -Review documentation and manage contracts to ensure compliance. -Resolve office-related issues, such as supplies, updating employee lists and contact list, seating arrangements, etc. -Create flow charts or other types of presentations to assist team members. -Assist F21 Project leaders in maintaining records of job changes, including change orders, purchase orders, and work scheduling.

What You Bring

-High level of attention to detail, and highly organized. -Verbal communication skills in Mandarin or Spanish. -Able to work in a team environment. -Excellent verbal and written communication skills in English. -Must have good problem-solving skills and be willing to learn. -Excellent interpersonal, negotiation, and conflict resolution skills. -Ability to develop and maintain successful relationships with all levels of employees, clients, and subcontractors. -Strong knowledge in Microsoft suite (Word, Excel, PPT, Power BI, etc.). -Start-up experience. -2+ years of internship or work experience combined, in construction environment preferred. -Ability to work in a construction site environment (trailer office). -Excellent organizational and time management skills. -Mandarin verbal communication skills are strongly preferred. -High School diploma or GED, required. Bachelor’s degree in construction management or business Admin, or a related field preferred. -Ability to act with integrity, professionalism, and confidentiality. -Must have and maintain a valid Arizona driver’s license. May be required to travel to other sites within Arizona to perform certain work functions. -Must be able to work under pressure and meet deadlines while maintaining a professional attitude. -Ability to effectively prioritize responsibilities depending on project needs. -Ability to perform administrative tasks in a supporting role.
