Tasks
-Track information requests related to insurance renewals and audits -Support internal pre qualification processes and monitor submissions for accuracy and completion -Coordinate Certificate of Insurance (COI) requests in partnership with the Risk Manager -Organize and draft internal education and training materials for Legal and Risk-related topics -Track and maintain records for Notices of Furnishing and Notices of Commencement -Conduct initial reviews of incoming contract requests to confirm all required documentation is included (prime contract, exhibits, etc.) -Accept, scan, and distribute incoming mail and legal correspondence as needed -Update and maintain forms, templates, and shared resources across company platforms -Provide support with document collection and organization for various legal matters -Coordinate the DocuSign process for all subcontracts, ensuring execution and tracking through a centralized system -Follow up with project teams to collect fully executed contracts, change orders, and related documents -Organize and track contract review requests to ensure timely routing and completion -Set up and maintain project folders and files, ensuring consistent naming conventions and document organization -You take initiative and follow through, ensuring tasks are completed accurately and on time

What You Bring
-You’re a steady communicator who keeps information flowing between teams efficiently -You’re exceptionally organized, great at prioritization, and have a strong attention to detail -Required: You have at least 2 years of experience in administrative, legal, or contract coordination roles -Bonus Points: You have experience with DocuSign or contract lifecycle management systems -Required: You’re proficient with Microsoft Office Suite (Word, Excel, Outlook) and document management systems -You’re able to exercise confidentiality and discretion when dealing with data and sensitive information -You’re collaborative, responsive, and adaptable when supporting multiple stakeholders
