The Role

Overview

Provides high-level administrative support to the CEO and oversees office management duties.

Tasks

-Maintains equipment by completing preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation. -Organize company events, meetings, and employee engagement activities (all-hands, offsites, holiday parties). -Maintain and update internal directories and org charts. -Manage personal requests tied to executive schedules when required (e.g., event RSVP coordination). -Screen calls and emails, prioritize messages, and handle confidential matters with discretion. -Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.). -Maintain and update a weekly “to-do” list. -Process transactions and maintain scheduling and other coordination efforts for several student hockey teams. -Coordinate executive meetings, agendas, and follow-up action items; track outcomes and deadlines. -Draft correspondence and provide follow-up by way of return phone calls for straightforward matters. -Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items; delivering requested supplies to workstations. -Draft, proofread, and format correspondence, presentations, and internal documents. -Travel coordination including booking hotel, flights and rental cars where needed. -Provide high-level administrative assistance to the CEO, calendar management, meeting coordination, travel booking, expense reporting, and preparation of briefing materials. -Manage cell phone and office ordering accounts.

What You Bring

-Excellent verbal and written communication. -Strong calendar, travel, and email management skills. -3+ years of experience supporting and/or 2+ years in office management (or equivalent). -Strong organizational skills and ability to handle multiple priorities in a fast-paced environment. -Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint). -High degree of confidentiality and professionalism in interactions. -Ability to Commute: -Ability to work well under pressure and meet deadlines -Ability to maintain strict confidentiality in all matters
