The Role

Overview

Supports construction project teams with documentation, admin tasks, and coordination.

Tasks

-Prepare, distribute, and track Requests for Information (RFIs) and ensure timely responses. -Assist in LEED documentation and sustainability reporting requirements. -Maintain accurate timecard entries in Procore and support payroll reporting. -Manage document control processes, including creating and maintaining logs for drawings, RFIs, and submittals. -Provide administrative support for contract management, insurance documentation, and warranty tracking. -Support compliance with safety standards by tracking safety meetings and assisting with documentation. -Review and process change orders and purchase orders under the guidance of the Project Manager. -Organize and maintain project files, including safety meeting records, attendance logs, and progress photographs. -Track project schedules and update progress reports in collaboration with the Project Manager and Superintendent. -Assist with job site setup and maintain project logistics documentation. -Coordinate submittal schedules, monitor scope changes, and communicate updates to the project team.

What You Bring

-Familiarity with construction terminology and processes is a plus. -Ability to work collaboratively in a fast-paced environment and maintain a positive attitude. -LEED GA certification is a plus. -Associate’s degree or equivalent experience in business administration, construction management, or related field. -Minimum 2 years of administrative experience; construction industry experience preferred. -Excellent verbal and written communication skills. -Proficiency in MS Office Suite (Word, Excel, Outlook); experience with Procore preferred. -Strong organizational and time management skills with the ability to handle multiple priorities.
