The Role

Overview

Provides full range of secretarial support for DCJ New Haven Judicial District.

Tasks

-Makes travel arrangements; -schedule and prioritize office workflow; -Using a computer, tablet, or other electronic equipment, formats and types a full range of correspondence, reports, briefs, motions, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.; -May prepare and process fiscal and personnel documents. -Processes confidential matters; -Maintains time and attendance records; -Receives and reviews various reports and forms for accuracy and completeness; -Compiles information from standard sources and prepares data reports (e.g., number of forms processed during the month). -Maintains, updates and reviews documentation as required; -operate office equipment which may include word processors, computers, tablets or other electronic equipment; -Takes notes and/or meeting minutes; -Processes reports and forms; -Arranges and coordinates meetings and conferences; -May attend meetings and take and transcribe minutes of proceedings. -Completes, processes and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.); -Organizes and maintains files; -Maintains an inventory of supplies and equipment; -Screen calls, visitors and mail; -Prepares expense accounts; -Logs documents and maintains dockets. -Orders supplies when necessary; -Designs office filing systems; -Composes routine letter/memoranda, etc. (e.g., standard replies and acknowledgement letters) for supervisor's signature. -Responds to routine requests for information on policies, rules and regulations, programs and procedures. -Greets and directs visitors; -take notes (shorthand, speedwriting or other method acceptable to the supervisor);

-Candidates who are offered and accept a position with the State of Connecticut are bound by the State Code of Ethics for Public Officials and State Employees, which is available at www.ct.gov/ethics. -Experience working as a team player in a fast-paced environment, with limited errors -Knowledge of -Prior experience working in a legal office/courthouse or for a law enforcement agency -proper grammar, punctuation and spelling; -business math; -oral and written communication skills; -Takes and transcribes dictation; -Considerable experience with office technology, specifically Word, Excel, and PowerPoint and the willingness to embrace and learn new systems and software -Considerable knowledge of -Edits using knowledge of grammar, punctuation and spelling. -Proofreads for content; -Strong organizational skills -interpersonal skills; -Ability to -Customer service experience -Professional demeanor, even when confronted with calls or visits from frustrated individuals -type at a net speed of 50 wpm. -Excellent interpersonal communication experience -In order to be considered for this job opening, you must meet the Minimum Qualifications as listed on the job opening.
