The Role

Overview

Full‑time clerical secretary providing administrative support at Southbury Training School.

Tasks

-Designs office filing systems; -operate office equipment which includes computers, tablets, and other electronic equipment; -Prepares expense accounts; -Maintains time and attendance records; -schedule and prioritize office workflow; -Using computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.; -Arranges and coordinates meetings (including space and equipment); -Answers phones and takes messages; -Organizes and maintains files (including confidential files); -Makes travel arrangements. -Greets and directs visitors; -Stay connected! Log in daily to your JobAps Personal Status Board to track your status and check email (including spam/junk folders) for updates and tasks. -Composes routine letters/memoranda, etc. (e.g., standard replies and acknowledgement letters) for supervisor's signature. -Writes minutes of meetings, lectures, conferences, etc. from rough draft; -Completes, processes, and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.); -Maintains, updates and reviews reference materials and manuals. -Scans correspondence; -Compiles information from standard sources and prepares data reports (e.g., number of forms processed during the month). -Takes notes and/or meeting minutes; -Maintains an inventory of supplies and equipment; -take notes (shorthand, speedwriting or other method acceptable to the supervisor). -Pulls and attaches related materials; -Reviews, routes and prioritizes mail. -operate office suite software; -Orders supplies when necessary;

-business math; -interpersonal skills; -Experience organizing departmental events (meetings, gatherings, trainings, special events, etc.) -Attention to detail, demonstrating thoroughness and accuracy; -Experience working with CT-Train -Experience with Scheduling Calendars -Strong interpersonal skills; -Ability to use resources and critical thinking skills to find out-of-the-box solutions -Answers questions requiring knowledge of terminology, organization, supervisor's responsibilities, etc. (e.g., appropriate referrals, general purpose of the unit). -Experience With Outlook calendar management (organizing and scheduling meetings, as well as, sending meeting invitations -Experience organizing data into graphs, pivot tables and/or charts -Ability to -Experience in preparing an agenda and taking meeting minutes -Proofreads for content; -proper grammar, punctuation and spelling; -Considerable knowledge of -Experience working with SABA and E-Maintenance -Experience with data entering and reporting -Worked in a hospital setting; -The understanding of and ability to meet time sensitive deadlines and to prioritize; -The ability to remain calm and multitask while effectively managing a high volume of work; -Knowledge of -Educational Credits: List your earned credits and degrees from accredited institutions accurately on your application.
