The Role

Overview

Admin support handling docs, procurement, vendor tasks, travel, and office coordination.

Tasks

-Assistance updating reports -Perform additional assignments per supervisor’s direction. -Help research problems with invoices and help process invoices in pvault. -Train office personnel on new policies/procedures/software as requested. -Assist with vendor prequalification process. -Maintain vendor files in Egnyte. -Verify vendor NDA completeness. -Oversee and/or process day-to-day administrative items per supervisor's authorization, i.e. document control, data entry, expense reports, supply requisitions, incoming mail, update vendor contact list, take and distribute meeting minutes as requested, etc. -Manage shared Procurement mailbox and direct calls/emails accordingly; screen phone calls/solicitors per supervisor’s instructions; handle routine items, pass others on to supervisor. -Track and help manage lien waivers. -Arrange team lunches and activities. -Assist with vendor setup with accounting.

What You Bring

-Proficiency in Microsoft applications (i.e. Word, Excel, Outlook, and PowerPoint). -High School Diploma or GED, Some college helpful. -Ability to be courteous and diplomatic in dealing with others. -Ability to organize and prioritize numerous tasks. -Proficiency in some Construction ERP Software (i.e. Viewpoint). -Ability to work independently. -Minimum of two years administrative experience with preference given to construction experience. -Effective oral and written communication skills.
