Coordinate daily operations, admin, finance, compliance for a premier commercial property.

Tasks
-Compile monthly accruals and support chargebacks. -Coordinate tenant services including ID/access appointments and compliance with building rules. -Organize and maintain project, vendor, ownership, and tenant files. -Support vendor management and ensure compliance with contracts and performance standards. -Review and track certificates of insurance for accuracy and compliance. -Respond to maintenance requests and ensure tenant satisfaction. -Provide input for monthly variance reports and assist in quarterly reforecasting and annual budget preparation. -Conduct regular property inspections and manage work orders. -Monitor incident reports and ensure timely notification to the Risk Management department. -Track maintenance schedules and address occupant concerns. -Process invoices and resolve billing discrepancies. -Assist with drafting contracts and additional service requests. -Notify relevant teams of upcoming insurance expirations (90/60/30 days). -Administer access control IDs using the CCURE system. -Coordinate locksmith services for repairs and replacements. -Liaise with janitorial, security, and maintenance teams. -Manage access requests for loading dock tickets and assist with billing reviews. -Schedule meetings, prepare agendas, and document minutes. -Create building IDs. -Assist with project coordination and support office operational needs. -Draft and distribute communications regarding building activities and events. -Maintain organized financial documentation and workbooks.

What You Bring
-Proficient in Word and Excel -Project coordination experience; tenant/vendor management and scheduling -Able to interact diplomatically with corporate and property staff and tenants -Contract development and processing experience -Strong verbal and written communication skills -Strong knowledge of operational procedures, certificates of insurance, accounting fundamentals, and contract development -Able to maintain a strong customer service focus with both internal and external customers -Attentiveness to detail, strong grammatical skills and proof-reading ability -3+ years of p rior experience in property management (commercial real estate preferred) -Notary Public or is willing to obtain commission. -Highly organized and able to prioritize multiple tasks -Experience navigating city agency portals such as DOB NOW and BIS, with an ability to record and track violations, coordinating corrective actions, resolving issues, and ensuring timely and compliant resolution. -Bachelor’s Degree
