The Role

Overview

Admin role handling client support, key management, marketing and office tasks.

Tasks

-Advise of office supply requirements (coffee, tea, stationary etc) -Send home reports to potential sales viewers and book sales viewings. -Provide administrative support to colleagues within the team. -Book and amend property inspections. -Print out and manage property window card displays. -Order Let Boards / let by stickers and arrange removal of let boards. -Manage mail received and forward to the appropriate team. -Attend and respond to emails into the Glasgow Team inbox and escalate where needed. -Answer calls into the PM and sales line. -Ensure that the key management process is followed. -Offer walk-in client’s advice and guidance and resolve issues where possible or pass clients to colleagues for further advise if required. -Open and close the office as per the procedure. -Prepare adverts ahead of marketing and advise portfolio team of any issues. Update the advertising spreadsheet. -Manage and record the movement of keys to and from contractors, tenants, landlords and Property Managers.

What You Bring

-An ability to relay information with confidence and when required to seek support from peers to ensure the correct information is delivered. -Good knowledge of Microsoft Outlook, Word and Excel and be competent in learning new operating systems to ensure they can get to grips with our management software. -Strong IT skills, MS Word, Excel -Excellent time management, organisational and prioritisation skills -Ideally at least 1 year’s Property Management experience but not essential, it is preferable and will make the transition for the successful applicant easier with some sector knowledge. -A born multi-tasker with an ability to deal with multiple demands on their time and thrives in fast paced environment. -Good attention to details, an ability to use business systems to steer decision making -Excellent customer services skills -Excellent written and verbal communication which is in keeping with the professional image of the business. -Reliable, flexible and friendly -Current legal right to work in the UK. -Strong administration and coordination skills -Professional and presentable
