The Role

Overview

Manage front‑desk operations, calls, visitors and admin support at HQ

Tasks

-Coordinate conference room bookings and ensure meeting spaces are properly maintained. -Greet and assist guests and employees upon arrival and during facility tours. -Manage vendor services for the corporate location, including scheduling and service tracking. -Maintain a detailed list of purchase requisitions and ensure timely vendor payments. -Support general administrative tasks and assist departments as needed. -Place purchase orders and coordinate with the mailroom and manufacturing plants to ensure inventory accuracy. -Manage temporary badge access in alignment with company security protocols. -Answer and transfer incoming calls for the company using a multi-line phone system. -May require occasional lifting of office supplies or packages (up to 25 lbs). -Oversee supply orders for the corporate office and maintain accurate inventory records. -Maintain an up-to-date phone directory for corporate and manufacturing locations across North America.

What You Bring

-Office-based role with frequent interaction with internal and external stakeholders. -Experience in a corporate or manufacturing environment. -Ability to manage confidential information with discretion. -Minimum of 2 years of experience in a receptionist or administrative support role. -Strong communication and interpersonal skills. -High school diploma or GED. -Bilingual (English/Spanish or English/French) is a plus. -Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams). -Must be able to sit or stand for extended periods. -Excellent organizational skills and attention to detail.
