Tasks

-Maintain expense reports for daily transactions and submit weekly for checks and monthly for all credit card transactions. -Submit plans electronically -Regularly spend long hours sitting and using office equipment and computers -Request HOA checks from Accounting and request refund from HOA when applicable -Must submit all designs finished by the design team within a 24-hour turnaround time -Prepare and update reports for Weekly Meeting -Upload corrections and notify the design team in Podio -Regularly use hands and fingers to handle, control or feel objects -Fill out permit applications/ print them out if needed -Ensure checks make it back to Accounting -Regularly see details of objects that are less than a few feet away -Frequently Drive -Prepare routes for permit runners: Submitting / picking up plans, collect HOA signatures when needed/available -Supervise permit technicians, check to see how permit techs are progressing throughout the day, act as support and help solve any issues -Frequently bend to file and maintain files -Route Permit Technicians to obtain customer signatures for HOA applications -Print plans per AHJ and SOW requirements, request checks from Accounting -Collect & submit documents for HOA -Answer customer questions regarding HOA's -Frequently work on projects that require deadlines -Upload approved plans and job cards, notify install department in Podio -Call cities and counties for application process, costs, status update, & to confirm jurisdiction -Attend weekly webinars or departmental calls -Regularly spend long hours in intense concentration reviewing and entering financial information into a computer -Review permit list and see what permits are ready to be issued and submitted

What You Bring

-Basic computer skills -Ability to work well with others in a collaborative team environment -Ability to communicate with different departments efficiently with no less than a 24-hour turnaround time -Must be self-motivated as well as thrive in a team environment -Previous office or clerical experience preferred -Ability to manage workflow while multitasking -Must have a clean driving record, valid state driver’s license -Regularly understand the speech of another person -Excellent written and verbal communication skills required -Regularly speak clearly so listeners can understand -Regular, reliable and predictable attendance required -Regularly move from sitting to standing positions effortlessly -Excellent customer service skills required -Occasionally lift 5-10 pounds
