The Role

Admin support for KIE, handling scheduling, documents, events, and coordination across teams.

Tasks

-Perform work safely and effectively. Understand and follow oral and written instructions, including warning signs, equipment use, and other policies. -Provide administrative support to employees and management. -Perform complicated/complex administrative tasks. -Monitor multiple shared inboxes, responding to and handling requests that are received. -Research, plan, and execute on and off-site events as needed. -Provide support alongside other members of our operations support team as needed including, but not limited to: -Create, edit, and format documents such as reports, memos, presentations, SOPs, and correspondence. Maintain accurate and up-to-date files and records, both in physical and digital formats. -Work during normal operating hours to organize and complete work within given deadlines. Work overtime and weekends as required. -Collaborate with other administrative staff and department members to foster a positive and productive work environment. Support cross-functional teamwork and contribute to a cohesive team dynamic. -Maintain various logs, reports, and templates. -Work with management to coordinate meetings including scheduling, facilitating key stakeholders' attendance, booking and preparing conference rooms, arranging for catering, and assisting in compiling support documentation and materials. -Develop productive working relationships. -Process invoices and purchase orders. Coordinate with the business and finance department as required. -Prioritize work, handling numerous/diverse tasks from multiple stakeholders while meeting and exceeding stringent deadlines. -Other duties may include but are not limited to reviewing and/or conducting quality checks of documents as needed; updating and maintaining distribution matrixes; preparing and distributing communications; ordering and distributing SWAG; workspace packing and shipping; package shipping requests; printing requests. -Complete expense reports. -Maintain a working knowledge of standard software/technology. -Arrange and coordinate travel and reservations. -Prepare reports, presentations, and spreadsheets as requested by district staff or management.

What You Bring

-Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment -4+ years of experience as an administrative assistant, office coordinator, or other support/customer service role. -Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Visio. Intermediate to Advanced skills in Outlook and Excel preferred. -Work productively and meet deadlines timely -Communicate and interact effectively and professionally with supervisors, employees, and others individually or in a team environment. -Regular, reliable attendance. -Work independently and as part of a team. -Excellent communication skills (verbal and written). -Detail-oriented and ability to think independently. -Excellent organizational and time management skills. -Regular, reliable attendance -Problem-solve and make decisions to proactively resolve issues. -Ability to multi-task and prioritize. -Experience with Bluebeam or FoxIT PDF editors, Microsoft Teams, Concur Travel and Expense, SharePoint, and Smartsheet a plus.
