Tasks

To provide legal and administrative support to the CLO and to the Legal Department in general, managing bilingual documents, contracts, governance and compliance matters, while liaising with authorities, external counsels, and internal teams to ensure smooth legal operations. KEY -Monitor legal department’s KPI metrics and assist in preparing substantiating reports, as required. Monitor and manage deadlines for the Legal Department and flag the same to the CLO. -Provide backup support to other members of the legal team as and when required. -Review and translate legal documents in both English and Arabic. -Assist in preparing board and committee materials, legal opinions, presentations, and briefing notes, board resolutions and meeting agendas and minutes. -Prepare powers of attorney and other corporate documents for execution and filing. -Manage the calendar of the CLO and schedule the CLO meetings with internal and external parties, as required. -Provide summaries and practical recommendations to assist the lawyers in the Legal Department in case preparations and reports / recommendations to the management. -Ensure all bilingual documentation complies with applicable real estate laws, company policies, and regulatory requirements. -Assist with trade license renewals, amendments, and approvals from regulatory bodies. -Ensure ongoing compliance with company formation and ownership regulations for all group entities. -Support on the legal review of internal policies. o Support on the preparation of a DOA matrix and related matters. -Handle incoming legal requests, triage them, and route them appropriately. -Ensure compliance with company ethics, data protection standards, and internal procedures. -Conduct research on laws and regulations and court precedents, as required. -Confidentiality & Professional Conduct o Handle all legal documents and communications with the utmost confidentiality and professionalism. -Support on organizing legal training, orientation, and compliance awareness programs across the organization. -Support with the preparation, review, and execution of agreements including but not limited to NDAs, service agreements, lease agreements. -Support on completing KYC forms. -Maintain organized legal archives, both physical and electronic, ensuring documents are easily retrievable and secure. o Assist with budgeting, invoice tracking, billing and cost control for legal matters. -Maintain a centralized record of contracts, monitor expiry dates, renewals, and key milestones to ensure business continuity. -Support on corporate structuring and preparation of corporate structure charts and updates to the business. -Coordinate the notarization, attestation, and registration of legal documents with relevant government authorities. Support on legal due diligence in M&A transactions. -Liaise with government departments, notary offices, free zone authorities, and external legal counsels to complete legal formalities. -Track and support payments related to legal services, notary fees, and external counsels and consultants. -Assist in the development and implementation of standard legal templates and checklists to streamline processes. -Support Arabic-language submissions and ensure accurate representation of company interests in all government communications.

What You Bring

Minimum 10 years of experience as a paralegal or legal assistant in a corporate legal department, law firm, or in-house legal team - preferably in the real estate or corporate sector. Proven ability to liaise with government authorities, external counsel and internal teams. Legal Documentation & Translation Professional certifications in paralegal studies or legal operations are a plus. Experience with managing contracts review, litigation matters, corporate governance and compliance and dealing with HR on labour law matters and Finance on budget setting/ spent and expenses related to the Legal Department. Bachelor’s degree - preferably in legal studies or business administration. -Strong interpersonal and communication (oral and written) skills, able to interact with executives and stakeholders at various levels. -Proficiency in document management systems, legal software, Microsoft Office (Word, Excel, PowerPoint) and other productivity and AI tools. -Excellent drafting, editing, and proofreading skills, with strong attention to detail. -Good knowledge of contract, regulatory, and compliance law preferably in the real estate industry and corporate law. -Ability to work under pressure, meet tight deadlines, and adapt to changing priorities. -Strong legal research ability and analytical skills. -Strong organizational, time management, and multitasking skills. -Ability to take initiative, be proactive, and follow through on tasks -Fluent in both Arabic and English is mandatory.
