The Role
Overview
Manage group room reservations and coordinate guest services for group bookings.

Tasks
-Maintain accurate files and systems for information retrieval as it relates to group bookings. -Act as a resource to the hotel and the client for information. -Attend Weekly Strategy Meeting. -Verify information and disseminate as appropriate. -Facilitate guest departures by providing accurate statements and ensuring guest satisfaction and collecting all payments due. -Act as the primary resource for the operational and administrative functions for group block management including building blocks, entering group rooming lists, managing group inventory, billing, and pre-arrival tasks as required. -Assign room(s) according to guest requests and preferences whenever possible. -Attend appropriate meetings to be aware of business trends, new bookings and changes to current bookings. -Maintain a working knowledge of revenue management principles as it applies to the hotel in general by attending revenue management and sales meetings in order to ensure financial objectives of the property are met. -Post charges to guest accounts as designated. -Provide professional customer service to internal and external candidates. -Correspond regularly with group contacts in regard to modifying existing reservations, fulfilling special requests, etc.

What You Bring
-Excellent telephone etiquette. Tact and good judgment and proven experience interacting with customers and hotel management. -Experience in the hospitality industry and knowledge of common industry terms and practices preferred. -Ability to follow an appropriate course of action based on policies and procedures. -Experience with hotel PMS systems and operational proficiency. -Experience with Lightspeed PMS and Marriott CI/TY and MARSHA highly preferred. -Possess a working knowledge of the brand’s guest loyalty program and how it applies to group customers in order to ensure proper credit for reward programs to meeting planners. -Superior oral/written communication skills; ability to interact successfully with all levels. -Ability to handle multi-line telephone systems and individual call functions such as hold, forward, and conference. -Minimum 2-3 years of hotel experience working in Front Office or Sales. -Must have an in-depth knowledge of Front Desk and Reservations systems and procedures. -Knowledge of general office equipment (e.g., fax machine, copy machine, printers). -Maintain knowledge of current hotel events, activities, hours of operation, as well as any dining options that may be available. -High School Education or GED equivalent. -Ability to work in a fast-paced environment, sometimes under pressure, while simultaneously handling competing and changing priorities. -Strong technical skills in Excel and Outlook. Computer proficiency, including Microsoft Office. -Attention to details, good organizational skills and efficient time management. -Maintain a working knowledge of the sales, reservations and front office, accounting areas. Have a thorough understanding of the operational areas, guest patterns, demand periods and seasons.
