Admin support for senior execs: manage schedule, travel, meetings, budgets, and confidential data.

Tasks

-Collaborate with other administrative assistants, department heads, and support staff to ensure efficient operations and coordination across the organization. -Anticipate and resolve any issues or problems that may arise for the executive. -Arrange domestic and international travel, including flight bookings, hotel accommodations, transportation etc. -Maintain external contacts and relationships on behalf of the executive. -Manage and oversee the executive's budget, expenses, and invoices. -Organize and facilitate the executive's events, such as staff meetings, retreats, and workshops. -Provide administrative support to the executive's team and other departments as needed. -Ensure compliance with company policies related to expense reporting and approval process, submit expenses on behalf of the executive, and act as a delegate in reviewing and approving expense reports for the department. -Organize and coordinate meetings, including preparing meeting agendas, taking minutes, and distributing meeting materials, setting up technology, videoconferencing, etc. -Oversee executive's intricate schedule by arranging appointments, meetings, and conferences while also managing and prioritizing responses to phone calls, emails, and inquiries. -Reviews time sheets and payroll reports, enters data into the payroll system, acts as a delegate in reviewing and approving. -Ensure the confidentiality and security of information and data, maintaining the highest level of professionalism and discretion. -Prepare and edit documents, reports, presentations, and correspondence for the executive, providing support on special projects and initiatives, including conducting research, preparing presentations, and coordinating project timelines.

What You Bring

-Strong organizational, time management, and problem-solving skills. -High school diploma or equivalent. -Demonstrated knowledge of corporate and business unit policies procedures and practices. -Demonstrated ability to build consensus, establish trust and communicate effectively. -Demonstrated ability to identify and implement process enhancements and efficiencies. -Demonstrated administrative, organizing and planning skills. Demonstrated ability to conduct research, identify data requirements and create research tools. -Demonstrated business acumen, customer awareness and ability to create value. -Demonstrated ability to work independently, exercise sound judgment and discretion, coordinate multiple projects simultaneously, and work collaboratively with minimal supervision. -Proficient in Microsoft Office products, internet searches, database systems and other relevant software and tools. -7-years of administrative experience, including 5 years supporting an Executive. -Strong attention to detail, accuracy and follow through. -Excellent written and verbal communication skills.
