The Role

Overview

Admin support for property management, handling tenants, vendors, leases, and billing.

Tasks

-Follow standardized procedures and practices and receive regular but moderate supervision and guidance. -Forwards original invoices to accounting for payment. -Help with preparations of monthly and quarterly management reports. -Assist management with various administrative tasks. This includes answering phones, communicating with tenants, preparing expense reports, scheduling meetings, filing and copying. -Submit invoices for payment and purchase orders by inputting them into the accounting system. -Work with Building Technicians and vendors to compile a list of maintenance items. Open, coordinate, and monitor the status of work assigned to vendors. -Prepare tenant bills and submit upon approval. -Review internal lease administration documents such as lease abstracts as directed. Oversee lease administration activities including lease set up, lease changes, reporting etc. -Evaluate and choose solutions from established options. -Maintain files, including insurance certificates and leases. Verify all are up to date and in compliance with company policies. -Impact team through the quality of the services or information provided.

What You Bring

-A comprehensive understanding of a range of processes, procedures, systems, and concepts within own job function is required. -Ability to evaluate and communicate unusual and/or complex content in a concise and logical way. -In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc. organizational skills with an advanced inquisitive mindset. -High School Diploma or GED with 3-4 years of job-related experience. -Recognize and solve typical and atypical problems that can occur in own work area. -Advanced math skills. Ability to calculate advanced figures such as percentages, discounts, and markups.
