The Role

Tasks

-Customer Service: Greet visitors and manage the office's front desk area, providing excellent customer service and assistance to clients or visitors as needed. -Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents as required. Maintain accurate filing and document management systems. -Data Entry & Record Keeping: Maintain and update databases, spreadsheets, and filing systems. Ensure all records are accurate and up-to-date. -Office Management: Ensure the office runs efficiently by managing office supplies, equipment, and facilities. Order supplies as needed and coordinate office maintenance. -General Administrative Support: Provide assistance with other administrative duties such as handling mail, preparing expense reports, and assisting with projects or special tasks. -Calendar Management: Schedule and coordinate appointments, meetings, and travel arrangements for team members or executives. -Occasional lifting of office supplies or equipment (up to 15-20 lbs). -Communication: Handle incoming calls, emails, and other forms of communication, ensuring timely responses and forwarding inquiries to the appropriate personnel. -Meeting & Event Coordination: Assist in organizing internal and external meetings, events, and conferences, including logistics and catering arrangements.

-Discretion: Ability to handle confidential information with integrity and professionalism. -Organizational Skills: Strong ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment. -Education: High school diploma or equivalent required; Associate's degree or higher in Business Administration or a related field is a plus. -Experience: 1-3 years of administrative or office experience preferred. -Strong time management and prioritization skills. -Problem-Solving: Ability to troubleshoot basic office issues and resolve problems promptly. -Knowledge of basic office accounting and invoicing. -Attention to Detail: High level of accuracy and attention to detail in all aspects of the work. -Ability to sit, stand, or walk for extended periods as needed. -Communication Skills: Excellent verbal and written communication skills. Ability to professionally interact with team members, clients, and visitors. -Ability to adapt to new technologies and systems. -Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with office management software or tools is a plus.
