The Role

Overview

Manage invoice uploads and provide admin support to commercial, AP, and AR teams.

Tasks

-Maintain inventory records and support stock reconciliation. -Assist the commercial team with document management, filing, and data entry. -Ensure all invoices comply with HMRC standards for accuracy, completeness, and regulatory compliance. -Ensure all invoice data is correctly entered and categorized. -Monitor delivery schedules and liaise with suppliers to ensure timely receipt of goods and services. -Respond to routine inquiries and escalate issues as needed. -Act as a point of contact for internal teams and external partners regarding administrative project matters. -Excellence: Promoting innovation, development, training and continuous improvement to achieve the highest quality of project delivery. -Match delivery notes against purchase orders and invoices to verify accuracy. -Archive financial documentation in line with company procedures. -Support the accounts payable team by tracking invoice approvals and ensuring timely payments. -Liaise with vendors and suppliers to resolve discrepancies and follow up on missing or incomplete documentation. -Upload and process invoices accurately and promptly in the bespoke system.

What You Bring

-Previous construction experience in a clerical or administrative role. -Collaborative team player with the ability to contribute meaningfully to project teams. -Proficiency in using Microsoft Office Suite (Word, Excel, Outlook). -Strong attention to detail and accuracy in data entry. -Proven ability to plan, prioritise, and manage multiple tasks effectively. -Knowledge of all accounting functions and procedures. -Proactive problem-solving approach. -Experience in accounts payable and receivable processes. -Relevant experience in accounting in construction sector. -Excellent organizational and multitasking abilities. -Proficient written and verbal communication. -Effective written and verbal communication skills. -Ability to work independently and as part of a team. -Strong analytical, organizational, and interpersonal abilities.
