The Role

Overview

Manage front desk, greet visitors, handle calls, mail, badges, and support facilities.

Tasks

-Ensure all relevant records are kept up to date in relevant locations -Provide advice & support on building information and local amenities for visiting employee’s. -Meeting room preparation / set ups as required -Meet & greet all those entering the building in a warm, professional and polite manner -Daily correspondence by email or ticketing system and reactive to facilities queries/service requests -Ensure premises are always neat and in good working condition i.e. site walk around and escalation if required. -Answer main incoming phone line and direct calls internally where possible -Weekly/daily space planning as required -Maintain confidentiality of all appropriate communications and documentation -Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times -Provide world class service and ‘first contact’ experience to all client employee’s coming to the office. -Provide support for regular reporting packages -Assist in the implementation of Industry Best Practice operations -Complete additional projects, work, administration, reports as requested by the Facilities Manager. -Provide superior customer service to meet on-site client’s expectations -Assist in all needed reporting (client and JLL internal) -Support the needed quality management program for the specific site (give input to playbooks - procedures) -Ensure required metrics are tracked on appointed systems -Ensure reception area and office meet expected and professional standards -Achieve Key Performance Indicators and Service Level Agreement targets -Follow established escalation procedures and incident reporting procedures -Adhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies

What You Bring

-Enjoy multi-tasking at a fast pace with the ability to managing shifting daily priorities. -Excellent people skills and ability to interact with a wide range of client staff and demands -Confident communicator with well-developed interpersonal skills. -Good time management skills. -Experience in reception, concierge or related field -Competency in Microsoft applications including Word, Excel, and Outlook. -Must have experience in working a front desk -Prior experience as a receptionist or in related field. -Excellent organisational and communication skill (both written and oral) -Is a people person – enjoys interacting with people regularly -Consistent, professional dress and manner. -Able to contribute positively as part of a team, helping out with various tasks as required. -Experience with administrative procedures. -Strong PC literacy and proven ability to manage daily activities using various systems. -Excellent written and verbal communication skills. -Professional and polished appearance and manner. -Must be fluent in English -Demonstrate confidence, professionalism, responsiveness, and exceptional customer service skills. -Possess cultural awareness and sensitivity -Attention to detail with impeccable planning, time keeping and organizational skills. -Proficient in a range of information technology tools and platforms specifically MS Office applications. -Problem solving & decision making skills
