Tasks

-Assist with written communications including move-in/move-out notifications, weekly reports, marketing plans, maintenance updates, lease transfers, and student account correspondence. -Support Facilities Operations by assisting residents with submitting work orders, providing timely status updates, maintaining communication with the maintenance team, and ensuring issues are resolved to residents’ satisfaction. -Support the planning and execution of move-in, turn, and move-out processes to ensure a smooth resident experience. -Assist the department with marketing surveys and related data collection. -Provide indirect supervision for student staff, assigning tasks and projects, offering direction and feedback, and fostering a positive and professional work environment that supports their development. -Cross-train in all functions of the Property Bookkeeper role to ensure seamless support during high-volume periods and staff absences. -Manage all incoming mail and packages, including coordination with couriers, logging deliveries in Entrata, issuing timely resident notifications, maintaining an organized package room, and overseeing return-to-sender processes for unclaimed or misdelivered items -Assist residents and guarantors with navigating the property website and accessing online resources. -Administer student and staff parking programs, visitor parking, and affiliated ID processes. -Oversee the property email inbox, ensuring timely responses and that inquiries are appropriately routed and resolved. -Contribute to resident engagement and retention by delivering outstanding customer service and promoting a welcoming community atmosphere. -Oversee daily office operations to ensure a professional, efficient, and welcoming environment for all residents, guests, and staff. -Provide support for day-to-day technology needs and troubleshooting -Cross-train in all leasing processes to provide coverage and assistance as needed during peak periods. -Utilize the property management software, Entrata, daily to support office operations. -Provide assistance to other COCM offices during high-traffic or high-volume timeframes. -Manage all incoming calls to the main office line, delivering prompt, courteous, and accurate assistance. -Assist with scheduling, meeting coordination, and calendar management for the Director and other staff as needed. -Serve as the primary front-facing representative for residents, guarantors, families, guests, prospective residents, and vendors, providing exceptional customer service and timely support.

What You Bring

-Proficiency in property management software (e.g., Entrata or similar platforms) -Ability to work effectively with diverse populations. -Working knowledge of Microsoft Word, Excel, and Outlook. Ability to operate basic office equipment including photocopier, fax, and telephone. Basic typing and filing skills. -Strong interpersonal, communication, and customer service skills. -High School Diploma or GED equivalent. -1-2 years’ clerical experience in property management. -Excellent attention to detail and organizational skills -Ability to manage multiple priorities and meet deadlines effectively
