Tasks
-Collaboration: Work in tandem with the Marketing & Proposal Manager to execute AMI’s marketing strategy and provide input on continuous improvement. -Strategic Campaigns: Collaborate on firm-wide marketing initiatives such as email campaigns, anniversary milestones, and community engagement activities. -Content Creation: Develop and design marketing collateral, including project profiles, presentations, brochures, digital content, and client-facing materials. -Database Management: Maintain marketing libraries including CRM, resumes, project profiles, and photography. Ensure accuracy and usability for pursuits. -Brand & Digital Presence: Manage AMI’s website updates, social media platforms, and e-newsletters; monitor analytics and recommend improvements to strengthen visibility and engagement. -Front Office Support: Provide secondary professional reception and administrative support, including greeting visitors, answering phones, and assisting with scheduling or other office needs as required. -Proposal Management: Lead and support responses to RFPs/RFQs, including scheduling, compliance, editing, and formatting. Assemble resumes, project sheets, and subconsultant materials; ensure timely and polished submissions. -Events & Outreach: Prepare materials for tradeshows, conferences, and client meetings. Coordinate logistics and provide onsite support as needed.

What You Bring
We are seeking an experienced Marketing and Proposal Coordinator with 5+ years of relevant experience to join our team. This role is hands-on and strategic, supporting both day-to-day marketing needs and high-stakes proposal development, while also providing front office support as a welcoming, professional first point of contact. The ideal candidate will be organized, creative, and collaborative, with proven ability to manage proposals independently, develop compelling content, support office operations, and maintain a consistent, professional brand across platforms. You will work closely with the Marketing & Proposal Manager and technical leadership to advance AMI’s marketing efforts, strengthen client relationships, and support the firm’s growth. Applicants must be currently authorized to work in the United States at any employer and have a valid driver’s license. -Strong proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop) and Microsoft Office; Canva or similar design platforms a plus. -Familiarity with CRM systems and marketing databases preferred. -Experience managing social media channels and website content for professional services or business audiences. -5+ years of marketing and proposal experience; A/E/C (architecture, engineering, or construction) industry preferred. -Bachelor’s degree in Marketing, Communications, Graphic Design, or related field. -Excellent organizational skills and ability to manage multiple priorities. -Strong communication and interpersonal skills -Professional communication skills and a client-service mindset to support front office responsibilities. -Demonstrated skill in writing, editing, and visual storytelling. -Ability to create photographic or video project content using technology, including but not limited to digital camera, video, drone, etc…
