The Role
Overview
Provide admin and legal support for real estate and projects transactions.

Tasks
-Managing incoming and outgoing physical mail through our Digital Mail Room -Perform administrative services including drafting, editing and proof-reading letters, agreements and other transactional documents -Monthly client billing and ad hoc client reporting -Liaising with clients by phone and email for all administrative related queries -Liaising with internal business service teams on various matters -Formatting documents in line with the firm style guide including updating cross referencing and converting from other styles -Opening and closing files in the practice management system -Performing property and other searches through third party providers (eg InfoTrack, GlobalX) -Ad hoc diary management -Preparing and compiling large transactional documents into pdf with multiple annexures -Arranging registration and stamping of physical and electronic documents with local land titles offices -Managing client and matter data within the practice management system -Maintaining complete electronic files in document management system (iManage), including maintaining document version control

What You Bring
-A Certificate in Legal Studies is desired but not essential -Strong team collaboration skills with an ability to lead by example -Strong attention to detail -Proven decision making and problem-solving ability -Real estate, projects, commercial or construction exposure is highly desired -Demonstrate the ability to build strong working relationships -An ability to influence and manage conflict with a diplomatic and consultative approach -Successful applicants will bring at least 3 years administrative support experience gained in a law firm -A flexible, friendly and approachable manner -The ability to maintain confidentiality and use discretion -A working knowledge of MS Office Suite is essential and an exposure to practice and document management systems is desired but not essential -Excellent verbal and written communication skills, spelling and grammar -Demonstrated time management and organisational skills
