Tasks
-Coordinate executive events such as dinners, offsites, golf outings, and board meetings. -Draft and prepare high-level internal and external correspondence materials. -Serve as a liaison between executives and internal/external stakeholders. -Track and process expense reports and related invoices; support budget tracking and office administrative needs. -Manage executive calendars, schedule and organize meetings, conference calls, and appointments across multiple time zones. -Maintain office supply inventory and provide general administrative support as needed. -Manage sensitive and confidential communications with professionalism and discretion. -Organize high-touch visits, including travel arrangements, accommodations, and detailed agendas for international and VIP guests. -Coordinate complex domestic and international travel arrangements, including logistics, itineraries, and expense reporting.

Hitachi America, Ltd. (www.hitachi-america.us) is seeking a highly professional and proactive Executive Assistant to support executives at our Santa Clara, CA office. This role requires a high level of discretion, excellent organizational skills, and the ability to manage competing priorities in a fast-paced environment. The successful candidate will be a trusted partner, ensuring seamless coordination of business activities and executive-level operations. -High school diploma or equivalent required; Associate’s or Bachelor’s degree strongly preferred. -Strong organizational skills with the ability to anticipate needs, prioritize tasks, and meet deadlines. -Minimum of 5 years of related experience supporting senior or executives in a corporate environment. -Ability to maintain a high level of professionalism and confidentiality. -Japanese language skills (oral and written) and cultural awareness are required. -Flexible, resourceful, and comfortable managing multiple responsibilities with minimal supervision. -Availability to work overtime or outside standard hours when necessary. -High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with SAP, Workday application , and Concur is a plus. -Exceptional written and verbal communication skills.

For California only (as required by California’s Pay Transparency for Pay Equity Act (SB 1162): The expected rate for this position in our California office is $71,282 - $89,103. Pay is determined based on a variety of factors including, but not limited to, depth of experience in the practice area. Employees are eligible to participate in Hitachi America’s variable pay program, subject to the program’s conditions and restrictions.
