Tasks

-Customer Service and Query Resolution: Investigate and resolve customer queries efficiently, ensuring a high standard of service and professionalism at all times -Office Organisation: Oversee general office administration tasks such as filing, shredding, post handling (including franking), and maintaining a tidy and efficient working environment -Customer and Call Management: Handle incoming calls via the Avaya telephone system, responding professionally to new customer enquiries, service requests, and general queries -Team Collaboration: Work collaboratively with colleagues on a variety of projects and tasks as required, ensuring effective communication and timely completion of work -Engineer Liaison: Act as a point of contact for field technicians — assigning callouts, managing schedules, and assisting with administrative needs such as parking, uniform orders, and equipment requirements -Stationery and Supplies: Manage stationery orders and ensure office supplies are readily available and appropriately organised -CRM and Data Management: Maintain and update the CRM (CASH) database to ensure accuracy and integrity of customer information, including regular data cleansing and updates. Full training will be provided -Administrative Support: Provide comprehensive administrative assistance to the office team, including data entry, document preparation, filing, and general office coordination -Stock Control and Procurement: Support stock management processes by ordering materials and supplies from approved suppliers, based on engineer requirements, and maintaining organised and well-stocked storage areas -Email and Correspondence Management: Monitor and manage the shared inbox, ensuring all incoming emails are responded to promptly and filed appropriately

-Experience: Proven administrative experience within a professional office environment -IT Proficiency: Competent user of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook -Organisation and Time Management: Excellent organisational skills with the ability to manage multiple priorities, meet deadlines, and maintain attention to detail in a fast-paced environment -Communication Skills: Strong written and verbal communication skills, with the ability to build effective working relationships at all levels -Accuracy and Attention to Detail: Demonstrates a high level of accuracy and thoroughness in all aspects of work -Confidentiality: Ability to handle sensitive and confidential information with professionalism and discretion -Reliability: Dependable and punctual, demonstrating a strong sense of responsibility and commitment to team success
