Tasks

-Maintain Certificates of Insurance for all active projects -Manage incoming and outgoing correspondence, prioritizing urgent matters appropriately -Proactively identify and resolve administrative challenges to maintain operational efficiency -Schedule and coordinate client-facing meetings and presentations -Coordinate logistics for meetings, events, and conferences -Make informed decisions regarding scheduling and workflow in the absence of leadership -Support project tracking by monitoring deadlines, deliverables, and progress updates -Prepare meeting agendas, record minutes, and follow up on action items -Prepare, edit, and proofread reports, presentations, and business documents -Oversee daily office operations, including supply management and equipment maintenance -Maintain organized digital and physical filing systems for easy access and compliance -Serve as a liaison for executive communications, ensuring timely and professional responses -Communicate with clients, vendors, and subcontractors on behalf of executives -Provide administrative assistance to senior leadership, including calendar coordination and meeting scheduling -Audit Certified Payroll records to ensure compliance with state and local regulations -Handle confidential project data with discretion and accuracy

What You Bring

-5+ years of experience in executive-level administrative support, preferably within construction or a fast-paced corporate setting -Ability to work independently and collaboratively -Resourceful and proactive problem-solving mindset -Advanced proficiency in Microsoft Office Suite, Google Workspace, and project management tools -Excellent written and verbal communication skills -High level of discretion in handling sensitive information -Flexibility required to manage shifting priorities and multiple tasks simultaneously -Strong organizational and multitasking abilities
