Overview

Provide admin support for contract projects, managing databases, scheduling, and documentation

Tasks

-Assembling O&M Manuals for completed project work -Updating and maintaining the clients Maximo database daily, including managing all responsive and planned maintenance jobs, and reviewing before issuing to Engineers -Carrying out general administrative duties as directed -Answering the phone and directing callers -Liaising with managers, subcontractors and suppliers and raising purchase orders as requested. -Data entry of accounts and job specific data onto Sage system -Scheduling of statutory testing of equipment -Assisting with the administration of the ISO Quality, H&S and Environmental standards -Administering and scheduling vehicle servicing, MOTs and taxation

What You Bring

-High level of attention to detail -IT literate, with strong working knowledge of Microsoft Word and Excel including with VLOOKUPs etc. -Ability to multitask and perform under pressure -Proven experience gained within an office administration role -Accurate and timely data entry and typing skills -Self-motivated and enthusiastic to learn, with a can-do and flexible attitude towards tasks -Successful candidate must pass BPSS Clearance due to working with highly sensitive software -Strong communication skills with a professional telephone manner
