Office Manager (HVAC)

Admin support for HVAC ops: manage records, billing, supplies, scheduling, permits.

Tasks

-Maintain organized records for customer files, service orders, invoices, and vendor documents. -Office Administration. Manage day-to-day administrative operations. -Process work orders, invoice commercial service accounts, provide cursory review of project costs prior to closeouts. -Support the management team and other departments to ensure accurate and timely invoices. -Pull construction permits from various cities. -Aid construction project managers with equipment submittals. -Serve as a backup for customers, addressing inquiries, incoming calls, requests and follow-ups -Creating internal jobs and ordering equipment for project managers. -Aid dispatch team with include scheduling HVAC service calls and installations using dispatching software as well as communicating with commercial customers when needed. -Order and track office and field supplies. -Review project costs and aid project managers in closing jobs.
