Estimating Assistant

Overview

Manages admin tasks for project setup, documentation, and coordination from estimating to closeout.

Tasks

-Schedule and participate in pre-construction and hand-off meetings as applicable. -Monitor and distribute status reports to Project Managers, team members, and senior management. -Identify and report potential risks or issues during project execution. -Conduct project buyouts, including drafting and managing Subcontracts, Service Agreements, Work Orders, and Purchase Orders. -Maintain accurate subcontractor, vendor, PO, and Change Order lists. -Create accurate Job Books. -Issue project numbers upon transition from Estimating to Construction. -Track and archive subcontractor/vendor correspondence; escalate issues to the project team. -Work collaboratively with internal departments to ensure smooth project delivery. -Work with the Safety Department to prepare project-specific Emergency Action Plans. -Coordinate with Finance/Accounting to meet compliance requirements (e.g., Bonds, COIs). -Organize and maintain detailed project records accessible to the team. -Support project closeout by archiving and transitioning files to the Completed Projects archive.
