The Role

Tasks

-Develop templates, style guides, and tools to streamline and improve proposal workflows -Maintain proposal collateral including staff bios, project sheets, and firm profiles -Support overall marketing and business development initiatives as needed -Support business development tracking and reporting -Interpret RFPs and RFQs, develop compliance matrices, and assign responsibilities to team members -Assist in collecting, editing, and formatting staff resumes for proposals and qualifications packages -Manage and update CRM data (projects, pursuits, clients, and contacts), ensuring accuracy and consistency -Collaborate with technical staff, executives, and subconsultants to gather content and develop winning messaging -Lead the preparation of responsive, compelling proposal content for CM, PM, and related consulting services -Train and mentor the existing Proposal Writer, helping develop their skills and elevate their role -Track and file subconsultant and teaming partner information, certificates, and SOQs -Coordinate and manage proposal timelines and ensure all deadlines are met -Lead the creation of visuals and presentations for interviews and shortlist meetings -Collaborate with the Business Development Director to prepare for upcoming RFPs by supporting opportunity tracking, building proposal teams, and preparing content in advance of solicitations -Assist in proposal production as needed—assembling packages, formatting documents, compiling content -Support marketing tasks including social media scheduling, company newsletter creation, and event logistics -Coordinate with technical staff to gather and organize up-to-date project descriptions and metrics

What You Bring

-Familiarity with CRM systems and proposal tracking software is a plus -1-3 years of marketing and/or data management experience preferred -Bachelor's degree in English, Communications, Marketing, or a related field -Expert-level proficiency in MS Word, Excel, Outlook, Adobe Acrobat, and Google Workspace -Strong attention to detail and consistency in managing large volumes of information -Proven experience managing proposals and leading a team or mentoring others -Excellent communication skills and ability to collaborate across teams -Strong writing, editing, and organizational skills -Familiarity with CRM tools and database entry (experience with JobDiva or similar tools a plus) -Excellent organizational and multitasking abilities -5+ years of proposal writing experience, preferably in AEC, CM, or PM consulting services -Proficient in Microsoft Office Suite, Adobe Acrobat, and Google Workspace -Bachelor's degree required (Marketing, Communications, Business, or related field preferred)
