Tasks

-Enter awarded project budgets from Estimating into the accounting software. -Collaborate with Project Managers to prioritize and filter required submittals. -Ensure monthly project forecasts are completed and submitted per contract requirements. -Request, coordinate, log, and track submittals and resubmittals from suppliers and subcontractors. -Verify project billings are processed in accordance with contractual terms. -Submit and coordinate job-site badging and access; maintain an accurate log. -Build project-specific Submittal Registers based on contract specifications. -Update project documentation to ensure real-time, accurate communication between office and field teams. -Log and track equipment delivery and status for assigned projects. -Compile and organize closeout documents including As-Builts, Start-Up Reports, O&M manuals, warranties, and owner training materials. -Confirm all company policies and contractual standards are met prior to work commencement. -Manage Plans and Specifications document control and distribution. -Coordinate Davis-Bacon paperwork and requirements with Payroll, Subcontractors, and General Contractors. -Assist in tracking short- and long-term manpower projections.

What You Bring

-Minimum 3 years of experience in project coordination or administration, preferably in commercial mechanical or construction environments. -Self-motivated, punctual, and dependable. -Excellent written and verbal communication skills. -Experience with Davis-Bacon compliance and certified payroll a plus. -Familiarity with construction documents (submittals, RFIs, change orders, O&Ms) strongly preferred. -Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint). -Professional appearance and demeanor. -Strong organizational skills with proven ability to multi-task and follow up both internally and externally.
