Tasks

In this position, you will assist in day-to-day operations to administer subcontracting processes and jobcost responsibilities. -Put in extended hours and handle rapidly changing priorities to accomplish project goals. -Use visual and auditory skills as required. -Carry out any other tasks assigned by Project Management team and Project Controls Manager. -Provide backup services for receptionist, if and when needed. -Ensure all subcontract and related documents from Subcontractors meet all guidelines per job specifications and company requirements. -Be responsible for obtaining all certificates of insurance and confirming coverage meets required specifications. -Be a constant liaison between subcontractors and insurance companies. -Distribute contract documents to relevant company personnel and third parties. -Sit as required on a regular daily basis. -Making timely decisions using sound and accurate judgment while keeping appropriate people informed in the decision process. -Set up and assist the project team with balancing job costs in Company’s software program on each project. -File all project related documents electronically. -Set up new projects in the required software. -Assist Project Team with project closeout including Subcontractor final invoicing and commitment balances. -Attending internal and external meetings as required by the Project Manager. Some traveling might be required. -Routinely monitor project costs versus budgets to alert management and PMs of potential overruns.

What You Bring

You are physically able to … -Communicating effectively and professionally both verbally and in written documents. -Must be authorized to work in the U.S. -Working well in group and individual problem-solving situations. -Communicate in a professional manner with company personnel and third parties. -Have previous offices clerical and financial experience a plus. -Have basic knowledge working with Microsoft Office, Email and Internet. Spitfire and Microsoft Dynamics SL knowledge a plus -Exhibit excellent organization skills. -Have a High school diploma or GED completed. -Operate a computer, telephone and other commonly used business-related items. -Exhibit superior attention to detail. -Exhibit good customer service skills and professional phone skills. -Meeting established goals while demonstrating accuracy and thoroughness to ensure quality of work. -Have construction industry knowledge and experience.
